Running the Exclaimer Cloud Signatures for Office 365 setup wizard

When you are ready to configure a connection between Exclaimer Cloud Signatures for Office 365 and your email services, our intuitive setup wizard will guide you through the process.

During these steps, you will grant permission for Exclaimer Cloud Signatures for Office 365 to read user data from your Azure/Office 365 directory and maintain a replica in an Exclaimer Cloud database. After this, the wizard creates and configures Office 365 connectors and a Transport Rule.

To run the setup wizard, follow steps below:

  1. Having set up your subscription and launched Exclaimer Cloud Signatures for Office 365, you can choose to Configure the full operational service or Try out the Signature Designer:

  2. Select Configure the full operational service and then click Next:

    Setup Signatures for Office 365.
Note: If you have previously chosen to Try out the Signature Designer, the Configure the full operational service option will always be available when you launch the product.

  3. Signatures for Office 365 synchronizes the user data from your Azure/Office 365 directory to an Exclaimer Cloud database so that it can use this data when applying email signatures. It will periodically re-synchronize this data to keep it up-to-date.

Fill in the field that says 'Please specify your Office 365 Domain name' like below:

    Azure/Office 365 Directory Access.

Note: if you're not sure what your domain name should be, see Where can I find my Microsoft Tenant ID?

  4. Click Next.

  5. You are taken to a page within the Microsoft Online environment where you must grant the aforementioned permission. To do this, you need to sign with your Office 365 Global Administrator account credentials:

    Microsoft Online community login.

  6. On the right of the page, you will be asked if you accept letting Exclaimer Cloud Signatures for Office 365 read your Office 365/Azure directory data. Click Accept:

    Read directory data.

  7. You will then be returned to the Signatures for Office 365 UI setup page. It will inform you that you have successfully granted permission for the Signatures for Office 365 application to read your Azure/Office 365 directory data. Click Next:

    Azure/Office 365 Directory Access success

  8. Once you click Next, the setup process is completed and all of your directory data is synchronized with Signatures for Office 365.
  9. The wizard now needs to enable Signature for Office 365 to apply signatures to your messages. This is done by setting up the following:
    • A Send Connector. This redirects each message to the Exclaimer Cloud where the signature is added before it is delivered to the recipient(s).
    • A Receive Connector. When the Exclaimer Cloud has added the signature, it returns the message back to Office 365 through the Receive Connector.
    • A Transport Rule. This allows you to define conditions so you can identify which messages you want to send to Exclaimer Cloud for processing (i.e. to have signatures applied).

Fill in your Office 365 user name and password in the fields provided:

    Setup of Office 365 connectors.

  10. You then need to specify which users are to receive email signatures via Signatures for Office 365. By default, this option will be set to all users. If you wish to process messages for a particular groups of users, you can specify the name of a Distribution group and only the message from users in that group will be sent to the Exclaimer Cloud:

Specify numbers of Exclaimer Cloud users

    Click Next when ready.

  11. The setup wizard  then automatically sets up your Office 365 connectors and Transport Rule:

Office 365 connectors and Transport rule setup automatically.

Just wait for the wizard to complete and click Next. You will be informed that the Office 365 connectors and Transport rule have been set up successfully.

In the unlikely event that the Office 365 Connector Setup fails, click the Retry button that appears.

If you continue to have issues, simply raise a Support Ticket and an Exclaimer Support Engineer will contact you directly.

  12. Once you click Next, data synchronization will occur. The time for the synchronization process to complete will depend on the amount of users present in the Azure AD. The more users you have, the longer it will take to complete. For example, if you have only 10 users, then the process will be quicker than if you had 100 users:

Data synchronization in Signatures for Office 365.

  13. Once this is completed, click Next. You can start creating your first email signature in Signatures for Office 365:

    Start Signatures for Office 365.

Note: You can modify these settings in the Signatures for Office 365 home screen by clicking the Settings tab:

Update Settings in the Signatures for Office 365 UI.
