Setting Outlook client restrictions

Overview

If your subscription is configured with Outlook Client for Exclaimer Cloud - Signatures for Office 365, you can set Outlook client restrictions to determine what changes users can make to signatures locally, in Microsoft Outlook:

You can:

  • Prevent users from changing signature options. If this option is enabled, users can choose which signature to use when composing messages in Microsoft Outlook (if multiple signatures are available), but all signature edit options will be grayed out, so the signature content cannot be changed.  

  • Remove all existing signatures from Outlook. If this option is enabled, any existing local signatures (i.e. Microsoft Outlook signatures that have not been synchronized from Exclaimer Cloud - Signatures for Office 365) will be archived. This ensures that users can ONLY use signatures which are synchronized from Exclaimer Cloud - Signatures for Office 365. Note: If you choose to uninstall the synchronize feature at a later date, users' original signatures will be reinstated as part of the uninstall process.

Accessing Outlook client restrictions 

To access these options, follow the steps below:

  1. Select the Settings option from the drop-down menu at the top of the page:

    The Settings page is displayed:

  2. Select the Security tab to display all security options.

  3. Move to the Outlook client restrictions section and click the Edit button:

  4. You are directed to a page within the Microsoft Online environment, where you should enter Global Administrator credentials and grant permission for Exclaimer Cloud to make required security changes.

  5. Having confirmed these details, you are directed back to the Outlook client restrictions page:

  6. Set restrictions as required, where:

    • Prevent users from changing signature options. If this option is enabled, users can choose which signature to use when composing messages in Microsoft Outlook (if multiple signatures are available), but all signature edit options will be grayed out, so the signature content cannot be changed. 

    • Remove all existing signatures from Outlook. If this option is enabled, any existing local signatures (i.e. Microsoft Outlook signatures that have not been synchronized from Exclaimer Cloud - Signatures for Office 365) will be archived. Note: If you choose to uninstall the synchronize feature at a later date, users' original signatures will be reinstated as part of the uninstall process.

  7. Click Save to confirm changes.
