The Signature Update Agent

If your subscription is configured with Outlook Client for Exclaimer Cloud - Signatures for Office 365, signatures are synchronized to users' local computers, for use in Microsoft Outlook. 

The synchronization process is handled by our Signature Update Agent. The agent must be deployed to the computer of every user who wishes to synchronize their signature from Exclaimer Cloud - Signatures for Office 365, to their Outlook client. 

How does it work?

The Signature Update Agent runs in the background on each user's computer, synchronizing signatures approximately once an hour (this frequency cannot be changed). 

  1. The agent connects to our Exclaimer servers and locates your subscription
  2. The agent checks for signatures which are defined for use in Outlook, and builds them (signatures are built with each synchronization - they are never stored/cached for re-deployment)
  3. If a signature is found to be applicable for the user - i.e. settings for users/groupssignature rulesdate and time apply - it is synchronized to their computer (all applicable signatures are synchronized for each user)

Can users edit their signature in Microsoft Outlook?

You can choose to 'lock' access to signature options in Microsoft Outlook and/or archive all existing Microsoft Outlook signatures for each user, via security settings in Exclaimer Cloud - Signatures for Office 365. For further information, please see Setting Outlook client restrictions

What operating systems are supported?

The Signature Update Agent runs on Windows 7 through to Windows 10. Mac operating systems are not supported.

Deploying the signature update agent 

There are two ways that you can deploy the Signature Update Agent to client computers: 

Unless you have a specific need to deploy via GPO, we recommend that URL deployment is used - this is the simplest method, and ensures that the agent is always up to date.
